Kids check-in that keeps every child safe and every parent sure
Check children in at the door with a rotating QR code, print name tags with allergy and consent marks, and release each child only to someone who is allowed to collect them.
What's included
- Rooms by age, filled automatically
- Rotating QR codes at every door
- Name tags, parent tickets and bag tags
- Authorised and barred collectors
- Lockdown, missing-child and evacuation modes
Quick at the door, careful with every child
Rooms by age
Nursery, pre-school, juniors, pre-teens and teens, each with a capacity and a serving team. Children go to the right room automatically.
Stations at the door
A tablet, TV or phone shows a QR code that changes every 30 seconds. Parents check in with their own phone, or at an attended desk.
Labels that matter
Name tags with the room, a security code, allergies and safety marks, plus parent collection tickets and bag tags, on A4, Brother, Dymo or Zebra stock.
Whole households at once
A desk checks in every sibling together and sends each one to the right room. Walk-ins are welcome.
Staffing ratios
Set how many children each worker covers. A gap raises a warning without ever turning a child away.
Parents keep records current
Allergies, medication and consents for photos, first aid and medicine, with your indemnity and photo policies accepted in advance.
Built for the moments that matter most
Pickup that checks identity
A matching code isn't enough on its own: GraceHub records whether the collector is a guardian, an authorised collector, or released by a leader.
Barred collectors
Record custody restrictions that override everything, including a leader. Parents can never see or clear them.
Discreet parent alerts
Call a parent out of the service with a neutral SMS through your church's Twilio account, and see which messages went out.
Incidents on record
Incident types and severities, leader sign-off for serious ones, and safeguarding disclosures kept confidential, with every read logged.
Emergency modes
Lockdown, missing child and evacuation with a muster list. Lockdown and missing child stop every pickup until the all-clear.
Cleared workers
Rooms are staffed from your serving teams, and the volunteers who need a background check or safeguarding clearance must have one.
How check-in works
- Arrive: Parents scan the station's QR code with their phone, or go to the welcome desk.
- Check in: Each child goes to the right room, and tags print for the child, the parent and any bags.
- In the room: Leaders see a live register, take headcounts and move children between rooms.
- Collect: The parent's code and identity are checked, and a worker confirms the release.
Kids check-in questions
Do parents need an app?
No. Parents scan the station's QR code with their phone's camera, or check in at an attended desk.
Which label printers work?
GraceHub prints through your browser on A4 or Letter paper, or on Brother DK, Dymo and Zebra label stock, and you can set a custom label size.
What if a child has a severe allergy?
Parents record the allergy, how severe it is, the reaction and where an EpiPen is kept. The allergy prints on the child's tag, with marks for rescue medication and withheld photo consent.
Can we stop someone from collecting a child?
Yes. A barred collector overrides everything, including a leader's override, and the parent account can't see or remove it.
